  1. Problem Statement: Project Managers were responsible for client documentation, but often kept files to themselves, leading to incomplete or missing information when they left the organization. This resulted in communication gaps with clients.

    Solution: To address the issue of incomplete or missing information when Project Managers left, a Correspondence Management System was introduced for all client communication, and a Document Management System was established for client submissions. Regular backups were taken to prevent data loss. These new procedures were made mandatory, but Project Managers could continue to save files as they had previously. Auditing was conducted regularly to ensure compliance, and management was kept informed. These steps ensured that data was not lost when Project Managers left the organization.
  2. Problem Statement: As an ISO 9001 implementation specialist, I documented processes and conducted quarterly audits to ensure department and organizational goals were met. During an audit of a regional office, I discovered the administration department needed help tracking incoming and outgoing correspondence for various projects. Important correspondences went missing, and the existing register system was not effective.

    Solution: To address the issue of missing correspondence in a regional office, I collaborated with stakeholders to develop a software solution. Incoming and outgoing letters would be scanned, and relevant information such as the date and project name would be entered into the software and sent to the appropriate department or project officials. A designated person oversaw the process for 15 days to ensure all letters were documented. Scanned copies were sent to the Document Management System for the relevant project officials to store in their project folders.
